HIPAA Secure Fax Integration Methods

Secure Fax Email Options:

Password Protected PDF: Inbound Fax is delivered to email as a password-protected/encrypted PDF file.
Exchange Transport Layer Security (TLS): Setup on customer side, TLS supports Opportunistic/Forced option using tokens to secure the connection for both inbound and outbound email deliver of fax file. With Forced TLS both sender and receiver exchange IP addresses to ensure a secure, direct path between servers.
PGP or X.509 Encryption Key: The customer purchases an encryption key and provides us with the public key. The customer configures the private key in Adobe Reader, which will only open the file if the keys match.
VPN (Virtual Private Network) Connection: We exchange private IP addresses for secure point-to-point connection for delivery.

Fax Desktop tool or Fax Print Driver

Our free Fax Desktop application or Fax Print Driver connect securely to our platform via our proprietary API interface built into the applications. Both products support faxing through existing EMR and CRM products. This solution eliminates the use of non-secure email. Open the desktop tool, attach the files to be faxed and provide a fax number. To use the fax printer, send the document to the fax printer and provide the fax numbers.

Fax to Network Printer

Inbound faxes are sent directly to client side network printer using a secure VPN connection with mapping to access the remote network printer.

Fax via MFD (Scan to Fax)

Multifunction Printer Devices can be setup through internal network security to access cloud based faxing. Users login to device with email and password to MFD and scan documents to fax. Upon delivery of fax, our hosted fax service will email the user a fax confirmation.

Secure Website Portal

Our web tool provides access to faxes via the internet through a secure HTTPS connection. Portal access requires the use of a user name and password. Website allows users to send a fax and retrieve inbound faxes. Fax images may be retrieved and stored locally on a customer’s computer or network drive.

SFTP (Secure File Transfer Protocol) Options

SFTP Push: Inbound Faxes can be automatically delivered directly to your SFTP server as each fax is received by the fax service. Documents are then retrieved internally and process downstream in the document workflow.
SFTP Pull: You can make SFTP pull request at time intervals to pull all available faxes received since your last pull. Each fax will have a header file and attached PDF/TIFF file so you can place onto your network drive to process downstream in the document workflow.
Security Key Pull: A security key may also be used to access the FTP server. This works similar to the key exchange in a PGP situation, but the customer provides the public key and we load onto our server; the connection can only be made using the customer’s private key. This is only viable in the Pull option. It is ideal for application interfaces where rules can be established around when to pull the files from our secure hosted servers.
Custom commands can be included in the SFTP header file to include a cover page, cost center, internal tracking identification along with other commands. Our job number will be returned upon acceptance of file so that job status inquiry and tracking can be returned for proper update in customer side database.
End of day traffic reports can be sent to the SFTP server with status.

API

We have designed and published API commands that allow companies to customize in-house applications for a secure connection to our cloud based fax architecture. This is similar to coding to internal fax servers which might currently exist. The API option allows for sending and receiving faxes, reporting and active directory updating, as well as various other commands.
